Virtual Rooms and Recordings Unit: Streamlining Access to Lectures and Course Management

The Virtual Rooms and Recordings Unit achieved remarkable success during the second semester of the academic year 2023/2024 and the summer semester of 2024/1445H. This success was driven by the unit's effective use of Google tools to manage course schedules and facilitate access to lectures.

Utilizing Google tools, the unit efficiently prepared and delivered course schedules to department heads through Google Docs. This collaborative system eliminated the need for file downloads and manual submissions, streamlining access to schedules and reducing version control issues.

The unit further enhanced accessibility by integrating links directly into the PDF schedule files, allowing students to access lectures with a single click. Additionally, playlists were created for each department and stage, providing easy access to daily lectures in both audio and video formats. A total of 50 video and 50 audio playlist links were provided.

During the second semester, the unit managed 180 primary rooms and 50 compensatory and supplementary rooms. A total of 30 schedule adjustments were made, and 730 video and audio lectures were recorded. Additionally, 730 attendance record files were generated, along with 19 training course links, 21 video recordings of training courses, 32 links for public discussions and seminar sessions (with 33 recordings), 55 meeting links, and 42 language center links. A total of 9600 files were uploaded, with an approximate size of 500 GB downloaded from ZOOM and 275 GB uploaded to YOUTUBE and HEARTHIS.

In the summer semester, a total of 2190 files were uploaded, and approximately 350 links were created.
