Virtual Room Unit Transforms Course Schedule Organization
Engineer Mohammed Abdeljawad, Director of the Virtual Room and Recording Unit, reported that the unit utilized Google tools to prepare the course schedules. Initial schedules were sent to department heads via Google Sheets, with a dedicated sheet for each college, allowing only the department head to modify their subjects. Access was also granted to the college dean and administrative affairs in case of issues with the department head, using collaborative schedules that are automatically submitted to the unit without the need to upload and send files.
Abdeljawad added that schedules were prepared on Google Drive, and links were provided to department heads for review and approval, consolidating departments and stages into a single PDF file for easier review. After the schedules were approved, links for course materials on Zoom were set up, with a continuous link for each subject until the end of the first semester. The schedules were divided and sent to the secretaries for matching with the provided links.
He pointed out that the unit created automatic statistics to indicate available times in the rooms, which helped reduce inquiries about room availability. A collaborative file was also created with secretaries for daily schedules, and a modification request survey was provided to department heads to simplify the submission of modification requests.
Regarding the playlists, Abdeljawad mentioned that 70 links were prepared for video playlists and 70 links for audio playlists, along with 546 Zoom links for each subject. Additionally, a Zoom room was approved for practical courses in the College of Computer Science and Information Technology, allowing lectures to be uploaded in various formats.
The unit has also added new rooms that accommodate 300 students instead of 100, along with new departments, including the Department of Quranic Studies and its Sciences and the Department of Disasters and Crises. At the end of his remarks, Abdeljawad stated that the number of lectures reached 396 during the week, with the unit studying available artificial intelligence tools on Zoom to enhance the educational process.
