The Bachelor's Degree Student Affairs Unit, led by Mr. Suleiman Maqbool, is one of the prominent administrative units at the Islamic University of Minnesota - Main Campus. It oversees students, supervises their various activities, and plays an active role in developing students' personalities, enhancing their skills, and increasing their capabilities to deal with their future. It strives to assist students in solving educational and academic problems that may hinder their educational journey. This report, prepared with the assistance of the unit's director, is a comprehensive overview of various aspects related to the unit, presented on the occasion of the completion of the second semester.
What is the Purpose of this Unit's Existence?
The presence of this unit is essential for any university. It executes tasks directly and indirectly related to achieving the university's goals by improving the level of essential services for students and various student activities. It also builds collaborative relationships with other administrative units at the university to achieve an integrated approach aimed at the success of the educational process.
Primary Tasks of the Unit
The primary tasks of the unit include overseeing the educational process in various departments of the bachelor's degree level, developing plans, instructions, and necessary guidance in coordination with other administrative units. It involves distributing instructions and directives issued by the administration to the departments, appointing supervisors responsible for the daily educational process, coordinating student reviews with the administration and different departments, building the university student's personality, and developing their abilities to face challenges.
The unit aims to create a cohesive university learning environment where a spirit of mutual cooperation prevails among students and administrative units, aiming for the highest quality of the educational process. It prepares students on all necessary aspects, discovers their talents, imparts knowledge and skills, instills values and behaviors, conducts awareness-raising workshops, fosters a spirit of competition, and strengthens social relationships among students, their peers, professors, and their community.
The daily tasks and operational mechanism of the unit involve creating WhatsApp groups for all unit members, including groups for the director, his deputy, follow-up and discussion groups for supervisors and their deputies. The process includes adjusting departmental and course groups, adding necessary information, and including new students in their respective groups. The unit tracks attendance and absenteeism, archives files as a reference for supervisors in case of portal issues, and prepares evaluation files for exemplary supervisors, assistants, and students.
The unit also addresses general student problems that arise with each other or with professors. Student concerns are elevated from the student to the supervisor and from the supervisor to the director. The director then raises the issue to the relevant administrative or academic authority for resolution.
Daily responsibilities also include monitoring absent students, communicating with them bi-monthly to understand the reasons for their absence, tracking departing students from groups, determining withdrawals, notifying supervisors for removal from department groups, and documenting the names and numbers of withdrawn students.
The unit is responsible for continuously updating department files containing student information, academic progress, deferred courses, equivalencies, and transfers. It ensures that the files match WhatsApp group information and the electronic portal, facilitating the identification of any deferral, equivalence, or transfer for timely submission to relevant authorities.
Daily tasks involve preparing reports on the progress of the educational process in all departments, serving as a foundation for the work of other units, disseminating necessary instructions to students and other collaborative units, and earnestly collaborating with any unit that complements our work and provides all necessary support. The unit focuses on regulating student affairs to achieve student stability and create a genuine educational atmosphere.
