Department of External Relations and International Cooperation

Mission

Providing high-quality creative services for the university's activities and events, which contributes to defining the university's mission and objectives, highlighting the university's civilized role, and creating a prestigious image for its scientific and research activity through communication between the university and various public and private sectors. The Public Relations Department is looking forward to building a good reputation and creating a positive mental image of the university among all segments of society (individuals and institutions), gaining their credibility and trust, and striving to reach the highest levels of belonging to the university among all its employees.

  •  Informing the university’s administrations Concerned with the needs of the internal and external community in terms of guidance, guidance or awareness.

Ceremonies and Honors

The department specializes in supervising the organization and coordination of parties, reservations, reception, ceremonies, receiving visitors, and following the rules of conduct in formal and informal occasions. 

The most important tasks

  • Coordinating with all deanships and departments inside and outside the university as required by the activities of organizing the official celebration ceremonies held by the university. 
  • Receiving and seeing off university guests, including officials and delegations. 
  • Supervising the ceremonies of all ceremonies and conferences attended by His Excellency the Director outside the university.
  • Following-up of affairs related to the ceremonies of the entities affiliated with the university. 
  • Following up on reservations related affairs. 
  • Preparing the visit program for university guests. 
  • Accompanying His Excellency the President of the University on official visits and events. 
  • Following up the work of the department and submit a weekly report on the work.

Technical Support

The department is responsible for supervising the department's website as well as the internal network. 

The most important tasks

  • Leading the public relations website with information and updating it from time to time. 
  • Offering questionnaires to measure the satisfaction of customers with the Public Relations Department in order to identify their views on the services provided to them and their level of satisfaction with them. 
  • Putting forward a mechanism to receive complaints and suggestions, empty their contents on a regular basis, and present them to the Quality Unit. 
  • Solving all minor technical problems in the internal network of the department that may not need the Deanship of Information Technology to fix them. 
  • Offering forms to obtain services.

Events

The department specializes in supervising the organization and coordination of all conferences and events in the university, and providing technical support for their implementation. The table shows the tasks of this section. 

The most important tasks

  • Submitting to the authority holder to request and obtain approval to hold the event. In the event of approval, coordination will be made with the halls department to reserve the hall in which the event will be held. 
  • Coordinating with the information and publications department to prepare and print the opening ceremony invitation card. 
  • Organizing various university parties, highlighting national events, and preparing programs suitable for these occasions, in partnership with various university agencies. 
  • Organizing exhibitions inside and outside the Kingdom. 
  • Representing the university in internal and external posts.

Hospitality and halls

The department specializes in supervising hospitality, halls and the equipment required for their implementation. The following explains the tasks of this department.

Tasks 

  • Determining the halls and devices to be used. 
  • Submitting a letter to the responsible party for reservations in the event that the event is held outside the university. 
  • Following up the reservation process. 
  • Receiving the hall and equipment before the event and ensure that it is ready for work. 
  • Supervising the preparation and preparation of halls and the required hospitality.

Information and Publications

The department specializes in supervising the preparation of invitations, advertisements, documentation and publications to be implemented. The table shows the tasks of this section.

The most prominent tasks

  • Supervising the preparation of the welcome signs, including: the informative and welcoming signs behind the stage of the sponsor of the event, and the indicative signs for the venue of the ceremony.
  •  Supervising the processing of identification cards. 
  • Supervising the processing of all university publications. 
  • Documenting events in the archive. 
  • Securing the seals for the various units of the university. 
  • Securing correspondence papers and examination papers for university students. 
  • Securing the main boards of the university's faculties in all governorates of the university. 
  • Informational brochures dealing with the university in a brief manner so that they can be distributed to visitors and guests of the university in various scientific forums in which senior university officials participate. 
  • Preparing lists of invitees for events held by the university.
